Does Clinitraq.ai work with our existing EMR / dental PMS?
Yes. Clinitraq.ai integrates with most modern Practice Management and EHR/EMR systems via the NexHealth gateway — including Dentrix, Eaglesoft, Open Dental, athenahealth, eClinicalWorks, NextGen, and others. Connections are configured during the 30-day onboarding phase, and your data never leaves the practice perimeter.
How long does setup take?
90 days from signature to steady-state, run in three phases. Days 0–30 cover stack provisioning and integration; days 31–60 are the AI handoff (voice agents go live, Astra coaches, NexHealth flows real data); days 61–90 reach steady-state with monthly KPI reporting and optimization loops running on every channel.
What's included in the setup fee?
Implementation, integration, AI agent training on your scripts and clinical tone, content migration, GoHighLevel CRM configuration with your pipelines, NexHealth gateway connection to your PMS / EMR, Astra deployment on your call lines, and the first month of monitored production. The setup fee is one-time; everything thereafter is the monthly retainer.
Are you HIPAA-compliant? Do you sign a BAA?
Yes. Clinitraq.ai operates under HIPAA, SOC 2, and GDPR-aligned processes. We sign a Business Associate Agreement (BAA) with every practice, and a Data Processing Addendum (DPA) where applicable. PHI stays inside the practice perimeter — AI agents operate against scoped APIs only. Vendor stack components (Synergetics, Astra, GoHighLevel, NexHealth) are reviewed under our compliance posture.
What happens if a patient asks the AI a clinical question?
AI agents handle scheduling, intake, billing, and routine inquiries — never clinical judgment. The moment a caller raises a clinical question (symptoms, dosage, treatment), the agent escalates to a human on your team via warm transfer or scheduled callback. You stay in control of clinical care; we handle the operations around it.
Can we cancel?
Yes. The Front Desk and Practice OS plans are month-to-month after a 30-day onboarding milestone gate. Enterprise plans are typically annual with volume discounts. We don't lock in customers — your data, your CRM contacts, and your call recordings export cleanly on departure.
